Stallholder Application

Cygnet Folk Festival organisers are looking for stallholders who can offer exciting artisan products that will provide a wonderful addition to this iconic event. Food and drink vendors who can provide seating and shelter will be given priority consideration.

Before completing the form below, please read the Stallholder Terms & Conditions and the festival’s COVID Safety Agreement.

Upon receipt of your application, you will be sent a confirmation email.

The Cygnet Folk Festival Committee approves stallholder applications at its discretion. 

Applications will close on September 30 

You will be advised of the outcome of your application from October 15. If successful, you will be sent a contract for completion and acceptance, including terms and conditions and the COVID SAFETY agreement. Cygnet Folk Festival will send an invoice from October 30.

Sites

In 2022 we are making some small changes to the layout of the stalls sites to better accommodate COVID-19 regulations and support stallholders in getting the best visibility and foot traffic possible throughout the weekend.

Food stalls will be in all four locations however artisan (non-food) stalls will only be placed in Tin Pan Alley and Paved Paradise.

The Cygnet Folk Festival offers a number of stall sites throughout the Festival Village in the heart of Cygnet. The stall locations are in Loongana Park, Mary St car park (opposite Town Hall), the St James College quadrangle and The Paddock (Mary St next to the BP Service Station).

Stall types & fees

(prices are inclusive of GST)

  • Food & non-alcoholic beverages (powered) – $650
  • Food & non-alcoholic beverages (unpowered) – $420
  • Coffee Only – $500
  • Not-for-Profit food & non-alcoholic beverages – $300
  • Handmade items, art, craft, local produce, other 3 x 3m sites – $150
  • Handmade items, art, craft, local produce, other 3 x 6m sites – $300
  • Not-for-Profit handmade items, art, craft, local produce, other 3 x 3m sites – $50

We provide power to the food & beverages stalls if requested.

Stallholders must bring everything else required to set up and run their stall.


Terms and Conditions


Please read the Terms and Conditions below. If you are successful with your application, you will be required to agree with them as a condition of contract.


Stall exclusions & criteria

  • All packaging must be fully compostable.
  • No amplified music.
  • Stallholders must comply with the directions of Festival management.
  • Huon Folk Inc reserves the discretionary right to change trading hours and stall locations.

Food licensing

Stallholders serving food and beverage must comply with food safety requirements stipulated by the Local Government Guidelines for Temporary Food Stalls. If successful, food stallholder application details will be passed on to Huon Valley Council who will contact you if further permits/licenses are required.

Insurance

All stallholders must provide a Certificate of Currency of your Public & Products Liability insurance with a minimum $20 million cover.

Covid-19 Safety Plan

Stallholders must supply us with a copy of their COVID-19 Safety Plan.

We request that stallholders complete this hygiene course: https://www.health.gov.au/resources/apps-and-tools/covid-19-infection-control-training. It’s free and takes about 30 mins.

Induction

At least one member of each stall must attend an online induction.

Payment conditions

Successfully selected stallholders will receive a tax invoice and must remit fees by the payment date (7 days). Payments are non-refundable unless the Festival is cancelled.

Setup & parking

Vehicle access is from 10 am – 1 Friday for unloading purposes only. Vehicles must be moved to designated parking areas immediately after unloading. Low-cost, all-day parking is available in the car park at the rear of Town Hall and on the Cygnet Primary School Oval.

Waste disposal & environmental management

  • Cygnet Folk Festival strives for sustainability. Packaging must be fully compostable.
  • Single-use water cannot be sold.
  • Waste must be disposed of in the skip bins near St James auditorium on George St. Stallholders are prohibited from using public bins to dispose of stall waste. Penalties will apply to stallholders breaching this requirement.
  • Compost bins are available in Loongana Park and the Mary St Carpark for food scraps.
  • Waste oil and greywater must be transported off-site and is the responsibility of the stallholder.
  • Stallholders must leave their site clean and free of rubbish.

Security

Stallholders are not permitted to stay in their stalls overnight. Security of stall valuables is the responsibility of the stallholder. Stalls must not be left unattended during the day.
